Pharmacy billing software checklist for India: GST billing, batch and expiry, Schedule H1 records and stock reports, for chemists across Uttarakhand.
A good pharmacy billing software checklist for India covers five things: fast GST-ready billing at the counter, batch and expiry tracking, separate records for Schedule H1 sales, live stock levels with reorder alerts, and clear sales reports. If a system handles these well, daily billing gets quicker and inspections and audits become far less stressful.
For a chemist in Ramnagar, Haldwani or Ranikhet, billing software is no longer just a faster way to print a receipt. Tax rates on medicines changed in 2025, drug quality alerts arrive every month, and customers expect a printed, itemised bill. Paper registers and a basic calculator struggle to keep up with all of that.
This guide is written for pharmacy owners across Uttarakhand and the rest of India who are comparing options. Use it as a checklist during demos, whichever product you finally choose.
Why does a pharmacy need dedicated billing software?
General shop billing apps treat a strip of tablets like a packet of biscuits. A pharmacy needs to know the batch number, expiry date, schedule category and tax rate of every item it sells.
Tax is the clearest example. At its 56th meeting, the GST Council cut GST on most drugs and medicines from 12% to 5% and moved 36 lifesaving drugs to nil, with the new rates applying from 22 September 2025. Software with a central item master lets you update rates once instead of correcting hundreds of entries by hand.
Quality alerts are the second reason. In its September 2026 testing round, CDSCO and state laboratories flagged 330 drug samples as not of standard quality. When an alert names a batch, you need to find out within minutes whether you stocked it and to whom you sold it.
Pharmacy billing software checklist: what features should you look for?
Ask the vendor to show each of these live during the demo, using your own sample items rather than ready-made demo data.
- Counter billing in under a minute: search by brand name, generic name or salt, and print or share the bill instantly.
- GST-ready invoices: correct tax rate per item, HSN code, GSTIN where needed, and a searchable invoice history for returns and audits.
- Batch and expiry tracking: every purchase entry records batch and expiry, and the system warns you before you sell a near-expiry or expired item.
- Schedule H1 records: a separate log of these sales with prescriber, patient, drug and quantity details.
- Stock management: live quantity on hand, reorder alerts, purchase entries against supplier bills and stock adjustment for breakage or returns.
- Sales and stock reports: daily sales, item-wise movement, slow-moving stock and items expiring in the next 30, 60 or 90 days.
- Data backup and user access: automatic backups and separate logins for the owner and counter staff.
What records do Indian rules ask pharmacies to keep?
Under the Drugs and Cosmetics Rules as amended by G.S.R. 588(E) of 2013, the sale of a Schedule H1 drug must be entered in a separate register. The register format shared by NHSRC records the prescriber's name and address, the patient's name, the medicine and quantity dispensed and the date, and says these records must be kept for three years and be open for inspection.
Good software can keep this log digitally and print it when an inspector asks. It should not replace your own understanding of the rules, though.
Rules and schedules are updated from time to time, so confirm current requirements with your State Drugs Control office or the CDSCO website, and check GST treatment with your chartered accountant.
How should billing software handle GST and price changes?
When the 2025 rates changed, NPPA's guidance reported by The Tribune asked manufacturers to issue revised or supplementary price lists to dealers and retailers. Re-labelling older stock was not mandatory if price compliance could be ensured. In practice this meant the price charged at the counter had to reflect the new tax, even on older packs.
Look for software where tax rates sit in the item master, where you can bulk-update a category, and where the bill shows the tax breakdown clearly. All India Radio's summary of the reform noted the shift of many medicines from the 12% slab to 5%, which is exactly the kind of change you want to apply in minutes, not days.
How to choose pharmacy billing software in 6 steps
A simple process keeps the decision practical and avoids paying for features you will never use.
- Write down your daily volume: bills per day, number of items in stock and how many staff will bill.
- List your must-haves from the checklist above and rank them.
- Ask for a live demo using 20 of your own fast-moving items, including one Schedule H1 product.
- Test a return, a stock adjustment and an expiry report during the demo, not just a sale.
- Ask how data is backed up, who can access it and how you can export it if you switch later.
- Check what training and local support are available, especially during the busy season.

FAQs
What is the most important feature in pharmacy billing software?
Fast, accurate counter billing with the correct GST rate on every item. Batch and expiry tracking comes a close second because it protects you from selling expired or recalled stock.
Does pharmacy billing software need to keep a Schedule H1 register?
The rules require a separate Schedule H1 record kept for three years. Software can maintain it digitally, but confirm the accepted format with your State Drugs Control office.
What is the GST rate on medicines in India now?
Following the GST Council's 56th meeting, most drugs and medicines moved from 12% to 5% from 22 September 2025, and 36 lifesaving drugs moved to nil. Check rates for specific items with your chartered accountant.
Can billing software help with CDSCO quality alerts?
Yes, if it records batch numbers at purchase and sale. You can then search for a flagged batch and see whether you hold it or sold it.
Is cloud-based or offline pharmacy software better for a small chemist?
Both can work. Cloud software makes backups and multi-device access easier, while offline software keeps working during internet outages, so ask how each option handles both situations.
